Privacy Policy

KOA Beauty Bar respects your privacy. This notice explains, in line with the Protection of Personal Information Act 4 of 2013 (POPIA), what personal information we collect through this website, why, and the rights you have.

1. Who is responsible

2. What we collect

  • Enquiry form: your name, phone number, email address, suburb or area, preferred day and message.
  • Home address: because we treat you at home, we ask for your address by WhatsApp or phone when confirming an appointment. We use it only to travel to you, and keep it only as long as needed to complete and follow up on your appointment.
  • WhatsApp, phone and email: whatever you choose to share when you contact us.
  • Bookings: made on Fresha, our booking partner, under Fresha's own privacy policy. We receive the booking details you provide there.
  • Technical and usage data (only if you consent): pages viewed, device and browser type, approximate location and clicks on buttons such as Book, collected through cookies and similar technologies.
  • Browser storage: your cookie choice and the butterflies you have found are stored on your own device.

3. Why we use it (purpose and lawful basis)

  • To respond to your enquiry and arrange or manage your appointment, including travelling to your home: needed to take steps at your request.
  • To understand and improve how our website works and to measure advertising: only with your consent.
  • To send you news and offers: only if you opt in, and you may opt out at any time (POPIA section 69).
  • To keep our website secure and meet legal obligations: our legitimate interests and legal duties.

4. Who we share it with

We do not sell personal information. We share it only with operators who help us run the business, under appropriate safeguards:

  • Fresha: Online appointment booking and client records.
  • WhatsApp (Meta): Messaging when you contact us on WhatsApp.
  • Google Analytics: Anonymous site statistics (only with your consent).
  • Meta Pixel: Measuring ad performance (only with your consent).

Some of these providers process data outside South Africa (for example in the United States or European Union). We only use providers that offer adequate protection, as required by POPIA section 72.

5. How long we keep it

Enquiries are kept only as long as needed to deal with them and for a reasonable period afterwards, unless the law requires longer. Analytics data is retained for no more than 14 months. Consent records are kept for as long as the consent is relied upon.

6. How we protect it

We use reasonable technical and organisational measures, including HTTPS, restricted access and spam protection on our forms, to guard against loss, misuse and unauthorised access.

7. Your rights

You may ask us to confirm what we hold about you, to access, correct or delete it, to object to its processing, and to withdraw consent at any time (withdrawing does not affect processing that already happened). Email info@koabeautybar.co.za and we will respond within a reasonable time.

8. Complaints

9. Changes

We may update this notice from time to time. The date at the top shows when it last changed.
